Board of Directors Business Meeting Agenda 
Monday October 9th, 2024
St. Sylvester Church Room 205 7:00 PM 
6464 Gulf Breeze Parkway
Attendees:  2024 Board of Directors:  President Craig Conwell; Treasurer Chester Watts; and Secretary Judy Kibler.  Vice President position is Vacant.
 
I.               Call to Order: President Conwell called the meeting to order at 7 p.m.
II.              Report of Notice of Meeting: President Conwell mailed out the agenda on 10/02/2024; and neighborhood signs were out by 10/06/2024.
III.             Agenda Modifications: None requested.
IV.            Disposal of Unapproved Minutes: A motion to dispense with the reading of September 9, 2024, minutes was made by Chester Watts and seconded by Judy Kibler.
V.              Report of Officers – State of Treasury: Treasurer Chester Watts.
a.     Monthly Treasurer’s Report: Expenses outstanding for the Fourth Quarter of 2024 include $1,500 for lawn service.  In preparation for the Annual Meeting on February 3, 2025, and with the increasing costs of postage, the Board made the Motion to purchase 500 Forever Stamps to reduce ever increasing postage costs.  Also, the Board was able to secure a smaller storage unit saving the HOA approximately $270 per year.  A Motion to approve the Treasurer’s Report was made by Judy Kibler, seconded by Kristen Conwell.
VI.            Committee Reports:
a.  Compliance Committee Report:
Continued communications are ongoing with one homeowner about CC&R infractions.  The Homeowner is complying with the HOA Board having provided proof of legal action with the State of Florida Insurance Board.  The HOA will continue to monitor compliance.
b.  ACC Committee Report:
                                          i.     The Compliance Committee is seeking a homeowner to serve on the committee.  The Bylaws require the committee to consist of three members to address homeowners’ complaints.
                                         ii.     An ongoing complaint received by the HOA Board concerns trash bins being visible from the road and/or to their neighbors.  Trash bins should not be visible from the road, should be stored either behind fences or in garages, and should be retrieved from the road in a timely fashion.  Homeowners are encouraged to correct such infractions and refer to the HOA Bylaws for specifics.  Notices will be forthcoming for homeowners who continue to ignore the bylaw.
                                       iii.     Fences on East Bay Boulevard need attention as there are missing boards and weak fences are propped up.  Homeowners are responsible for maintaining their fences in the appropriate manner.  Notices will be issued to homeowners who need to mend their fences.
c.      Beautification Committee Report
i.       None to report.

VII.           Old Business: Late Fees were discussed in Old Business, and there is no intention of raising late fees.  Bylaws state a $25 flat late fee for all late HOA fees.  We will vote on the 2025 homeowner dues at the November meeting.  The 2025 HOA Statements will be distributed to HOA Members in late November.  The due date for 2025 homeowner fees will be January 31, 2025.
VIII.      New Business: None to report.
IX.        Next Meeting: The next HOA Meeting is scheduled for 7 p.m., Monday, November 4th, 2024, at St. Sylvester Catholic Church.  The 2025 Budget will be ratified.  
X.         Adjournment.  There being no further business to review, the Motion was made by Judy Kibler and seconded by Chester Watts, to adjourn at 7:35 p.m.
